Is my event AI-compatible?

Being AI-compatible will depend on the type of event you are organising. It is crucial to understand that—while simultaneous interpreters can accurately translate any message in just 3 seconds—AI requires a longer processing time to generate an equally precise message.

In other words, the faster, more complex, or more interactive the speech is, the less accurate AI translation will be. Alternatively, it will require more time to process the entire message, making the translation less simultaneous and harder to follow.

For this reason, it is crucial to know in which contexts AI works and in which it does not. Here, we provide a set of guidelines.

AI cannot guarantee 100% accurate simultaneous interpretation from start to finish. If quality is critical, we recommend hiring simultaneous interpreters.

AI does not reproduce proper names or diplomatic messages well with the linguistic sensitivity required for this type of event. We recommend hiring simultaneous interpreters.

AI does not identify overlapping conversations well, nor can it rely on intonation to mark the interventions of different speakers, which makes it difficult to follow a debate. We recommend hiring simultaneous interpreters.

Since it relies on a translation engine based on the public cloud, AI-powered simultaneous interpretation cannot guarantee the confidentiality of the data disclosed during a meeting.

AI-POWERED SIMULTANEOUS INTERPRETATION - HOW DOES IT WORK?

AI-powered simultaneous interpretation (also known as “AI Simultaneous Translation” or “AI Speech Translation”) enables the automatic, real-time translation of spoken speech into another language, with no human interpeters required. To do so, it runs — in parallel and within seconds — three AI technologies that, together, enable a spoken discourse delivered in a foreign language to be transcribed, translated, and rendered in the target language:

  1. Automatic Speech Recognition (ASR) to transcribe the speaker’s speech into text.
  2. Machine Translation (MT) to translate the transcribed text, using large language models (LLMs); and
  3. Text-to-speech (TTS) to convert the translated text into spoken audio in the target language, with synthetic voices.

Depending on the type of event, the AI simultaneous interpretation user can listen to the audio of the translation or read the transcript in their language. Additionally, depending on the context, they can receive the text (via automatic subtitling) or the audio of the translation through various devices:

  • Translation receivers or headsets (standard at in-person congresses and events);
  • Their smartphone, tablet or mobile device (via QR code, at in-person, hybrid or online congresses and events);
  • Their own laptop (via app or URL, at online congresses and events).

Since there is no need to transport and install booths at the event venue or to hire simultaneous interpreters, AI simultaneous interpretation is an ideal solution for international events with limited budgets and no requirement for 100% terminological precision.

WHAT EVENTS ARE COMPATIBLE WITH AI-POWERED SIMULTANEOUS INTERPRETATION?

AI Speech Translation is 100% compatible with all three existing event types:

1. Fully in-person events

Fully in-person events are those held at a specific physical venue, where all speakers and all conference attendees are present. In this type of event, there are no online interventions and no participant connects virtually.

All technical equipment is installed on-site (microphones, PA system, sound control, infrared transmitters for broadcasting the simultaneous interpretation signal, headsets with infrared translation receivers, etc.), and attendees receive the AI simultaneous interpretation through headset receivers provided by the congress organising team.

This is generated from our sound control unit, installed on-site at the congress venue.

Additionally, it is also possible to enable direct delivery of the translation to attendees’ phones and mobile devices, via an app or QR code system.

2. Hybrid events (in-person + online)

Hybrid events are those held at a specific physical venue, but which also have online attendees or speakers.

Here there is no need to install all the equipment on-site – you only need headsets for the simultaneous translation at the event venue. From our remote sound studio, we then broadcast the remote simultaneous interpretation to both in-person speakers and attendees (who will hear it through their physical simultaneous interpretation receiver headsets) and to speakers and attendees connected virtually (who will be able to listen to it directly on their PC, laptop, tablet or smartphone).

Even when participants are spread across physical and virtual locations, communicative fluency is maintained at all times, as the translation is delivered continuously — since in-person participants can at any moment interact or ask questions — in their own language — to online participants and vice versa, and both groups will receive the simultaneous interpretation instantly.

3. Fully online events

At fully online events, the congress or conference — for example, a webinar — is not held at any specific physical venue, and all speakers and participants, located in different geographical points, connect online through a single virtual environment (Zoom, Teams, Webex, YouTube, etc.). Obviously, there is no need to install any technical equipment or move any equipment to any venue, as our team works entirely from our remote sound studio.

In this format, we ‘virtualise’ all technical equipment, so that:

  • Your PC, tablet or smartphone becomes your microphone and camera
  • Your headphones become your simultaneous interpretation receivers

From our remote sound room, we manage all audio and video signals and send each participant the corresponding audio feed in their mother tongue. As in any meeting, you can share on screen documents such as reports, videos or PowerPoint presentations, among others.
